THOSE WHO SPEAK.<\/strong>PART 1<\/h2>\n\n\n\n

The speakers and the context in which they speak have a decisive influence on your listening process and on the processing of information by the entire audience, and, of course, on the person taking visual notes live.<\/p>\n\n\n\n

In this article, I will describe the most common situations you will encounter when taking notes of any kind (not just visual) when synthesizing information live at any type of business meeting.<\/p>\n\n\n\n

Today, we place great importance on shared vision, common voice, debate, and conversation, and this is reflected in many of the situations we encounter.<\/strong><\/p>\n\n\n\n

At conferences and seminars, it is very common to hear not just one expert, but several who share their ideas, which are more or less aligned.<\/p>\n\n\n\n

This situation is commonly referred to as a PANEL or ROUND TABLE.<\/strong><\/p>\n\n\n\n

EXPERT PANEL<\/strong><\/h2>\n\n\n\n

Although they are referred to as panels or round tables, the reality is that they have little in common with round tables.<\/p>\n\n\n\n

We will see a little later that roundtable discussions actually take place within companies, and normally in a private setting.<\/p>\n\n\n\n

Specialized conferences usually invite two or more renowned figures in their field to share their vision and experience on certain issues.<\/p>\n\n\n\n

The conversation is guided by a moderator, whose mission goes far beyond indicating who should speak next or controlling the time.<\/p>\n\n\n\n

The moderator is, in fact, an expert on the subject.<\/strong><\/p>\n\n\n\n

There is one or more questions for each of them.<\/p>\n\n\n\n

Questions you can ask one of the panelists (the speakers) or all of them, inviting them to engage in a more spontaneous conversation.<\/p>\n\n\n\n

Questions are usually shared with panelists in advance so that they can be both quick and specific in their answers. <\/p>\n\n\n\n

Spoiler: This is not always the case.<\/p>\n\n\n\n

In any case, both the moderator and the panelists are allowed to steer the conversation; in other words, these are not closed questions but rather a guide to ensure that there will, in fact, be a conversation.<\/p>\n\n\n\n

If the organization shares these questions with you beforehand (another spoiler: this doesn't usually happen), they can serve as a guide for choosing your imagery or thinking about the canvas you want to compose, but don't take them as set in stone.<\/p>\n\n\n\n

There is another factor that has a decisive influence on the registration of a panel of experts, and that is, of course, time.<\/p>\n\n\n\n

You must train your improvisation and adaptation skills for real-life situations, because either there is too much time, or not enough, or someone is not participating in the conversation:<\/p>\n\n\n\n

As with all events, any unforeseen circumstance is, in reality, foreseeable (albeit indeterminate).<\/strong><\/p>\n\n\n\n

It is also very common to be asked to identify the panelists in some way. If this is not the case, suggest it!<\/p>\n\n\n\n

In my experience with expert panels, having the speaker's name written on the drawing helps the audience to accurately direct their questions and thus participate and get involved.<\/p>\n\n\n\n

You can identify them<\/p>\n\n\n\n

  • By name<\/li>
  • With your name and image (this image can be a photo, portrait, or caricature). Pro tip: Including it in the drawing, with actions, brings the whole summary to life.<\/li>
  • With the company or organization on whose behalf they are speaking.<\/li><\/ul>\n\n\n\n

    Or rather, the real round table.<\/p>\n\n\n\n

    They are internal and confidential in nature, meaning that what happens in them is only shared with the company in which they take place, with the invited client, and often not even then, as they are strategic conversations between executives or members of a specific department.<\/p>\n\n\n\n

    With a recommended number of up to ten attendees, the leading voices are usually reduced to three or four, while the rest of the participants contribute specific data or experience in the fields under discussion.<\/p>\n\n\n\n

    What is remarkable about these meetings, and in my opinion what is fascinating and where the skills of the graphic recorder are put to the test, is that<\/p>\n\n\n\n

    THE CONVERSATION MAY CHANGE DIRECTION.<\/strong>.<\/p>\n\n\n\n

    This means that although you may have some preliminary information about the topics to be discussed, the opportunity to meet these people makes it difficult for them to follow the planned agenda and take advantage of the occasion to put their real concerns on the table.<\/p>\n\n\n\n

    For example, the meeting may be about updating cybersecurity methods and then shift to user experience. This example is entirely real.<\/p>\n\n\n\n

    Here are some tips for approaching these meetings successfully:<\/p>\n\n\n\n

    • Prepare an image related to the topics to be discussed, but without limiting yourself by drawing it on the canvas; just keep it in your head.<\/li>
    • Work carefully on the titles so that you have an anchor to relate the conversations and ideas to, but make them as generic as possible to protect yourself from the almost certain changes in the direction of the conversation.<\/li>
    • Have blank sheets of paper handy. While discussions may be focused on the topic and time-bound, it is also common for participants to raise many more concerns than expected.<\/li><\/ul>\n\n\n\n

      WORKSHOP<\/strong><\/h2>\n\n\n\n

      The workshops are also internal in nature, as they are mainly held in companies or as the culmination of courses and training programs.<\/p>\n\n\n\n

      They are designed so that a large number of participants can share their voices, concerns, and experiences.<\/p>\n\n\n\n

      If the number of people allows it, and with the intention of making the most of the time, the meeting facilitators will organize the attendees into groups.<\/strong><\/p>\n\n\n\n

      Attendees will work in these groups, which may focus on the same or different topics, and may even rotate between groups.<\/p>\n\n\n\n

      So how will the group of people find out what conclusions have been reached?<\/p>\n\n\n\n

      The PLENARY session: where each group shares its conclusions.<\/strong><\/p>\n\n\n\n

      What is the challenge here for the graphic recorder? Well, basically time:<\/p>\n\n\n\n
